1. Varför har vi en personuppgiftspolicy?
När du (”Sökanden” eller ”du”) skapar en profil i vårt rekryteringsverktyg på smartrecruiters.com (”Hemsidan”) och när du ansöker om en specifik tjänst lämnar du ut personuppgifter till Inter IKEA-koncernen (”vi” eller ”oss”), såväl som till andra företag inom Inter IKEA-koncernen (”Inter IKEA”). Företagen inom Inter IKEA-koncernen är tillsammans ansvariga för behandlingen av dina personuppgifter. Du hittar en lista över dessa företag inom Inter IKEA-koncernen här. För att göra det lättare för dig att komma in kontakt med oss vid frågor, klagomål, upplysningar eller övrig begäran, ber vi dig att skicka oss ett e-post meddelande till adressen nedan. Denna adress mottar förfrågningar för alla företag inom Inter IKEA-koncernen.
I denna personuppgiftspolicy (”Policyn”) kommer vi informera dig om vår behandling av dina personuppgifter. Vi respekterar våra Sökandes integritet och åtar oss att skydda den genom att följa denna Policy. Vi åtar oss också att vara öppna gentemot våra Sökande genom att tillhandahålla tydlig information om vilka personuppgifter vi behandlar, syftet med behandlingen, hur länge personuppgifterna sparas, den rättsliga grunden för behandlingen samt annan information som vi är skyldiga att tillhandahålla enligt gällande rätt.
Dina personuppgifter kommer att behandlas i rekryteringsverktyget både på vår Hemsida och i en smartphoneapplikation som används av Inter IKEA:s rekryteringspersonal. Hänvisningar till Hemsidan i denna Policy innefattar även smartphoneapplikationen (i tillämpliga fall).
2. Vilka personuppgifter behandlar vi?
När en Sökande skapar en profil och sedan ansöker om en specifik tjänst via Hemsidan kommer Sökanden att lämna ut ett antal olika sorters personuppgifter som vi kommer att behandla. Vi kan även komma att samla in personuppgifter från andra källor som vi sedan kommer att behandla på Hemsidan. De typer av personuppgifter vi kan komma att behandla om dig är:
- Namn
- Kön
- Nationalitet
- Födelsedatum
- Telefonnummer
- E-postadress
- Plats
- Språk
- Användarnamn
- CV (CV:t kan också innehålla foton och videor)
- Utbildning
- Erfarenhet
- Löneanspråk och/eller aktuell lön
- Anteckningar från intervjuprocessen (sådana anteckningar kan, bland annat, innehålla dina preferenser och information om din livsstil, såsom dina hobbyer, vad som motiverar och intresserar dig samt vår bedömning av dig som sökande)
- Bilagor till ansökan
- Resultat från utvärderingstest(er) som gjorts online
- URL-länkar till innehåll på sociala medier
- Foton
- Utdrag från belastningsregistret (endast om det är tillåtet enligt nationell rätt)
3. Varför behandlar vi dina personuppgifter?
Vi behandlar dina personuppgifter i syfte att administrera rekryteringsprocessen, vilket innefattar bland annat uppföljning av din ansökan, att skapa en profil för dig som Sökande samt att kommunicera med dig på ett lämpligt sätt (t.ex. att kalla dig till en intervju).
Vi kommer också att behandla personuppgifterna i syfte att utvärdera ansökan, vilket innefattar att avgöra om Sökanden är kvalificerad för en specifik tjänst, om Sökandes utbildning, erfarenhet och språkkunskaper uppfyller kraven för den utlysta tjänsten, om lönenivån är i linje med Sökandens förväntningar och kollektivavtal och andra ramverk för ersättning. När vi utvärderar Sökandens ansökan behandlar vi de personuppgifter som tillhandahållits i CV:t och det personliga brevet, vilka kan innehålla foton och/eller videor av Sökanden (vilka Sökanden i så fall tillhandahållit frivilligt). Dock behandlar vi bara dessa foton och/eller videos om Sökanden har delgivit sitt explicita godkännande.
Under rekryteringsprocessen kan vårt rekryteringsteam komma att ta anteckningar, t.ex. vid intervjuer, vilka kan innehålla personuppgifter. Dessa personuppgifter behandlas för att utvärdera Sökanden för den aktuella tjänsten. Under ansökningsprocessen kan du också bli tillfrågad att genomföra ett utvärderingstest online. Resultaten från online-testet kommer att behandlas för att utvärdera Sökanden för den aktuella tjänsten.
På Hemsidan har Sökanden möjlighet att ladda upp bilagor som rekryteringsteamet kan utvärdera. Sådana bilagor laddas upp frivilligt och behandlas i syfte att få en helhetsbild av Sökanden och för att utvärdera Sökanden för den aktuella tjänsten.
På Inter IKEA tror vi på människor och respekterar varandra oavsett ställning, kön och bakgrund. Mångfald, jämställdhet och inkludering ökar förståelsen för våra kunder och för varandra. I syfte att säkerställa att vi uppnår, rekryterar för och anammar mångfald, jämställdhet mellan könen och inkludering behandlar vi information om våra Sökandes kön, nationalitet och födelsedatum anonymt samt endast för statistiska ändamål (det är frivilligt att tillhandahålla sådana uppgifter).
Via Hemsidan har du möjlighet att koppla ihop din ansökan med dina konton på sociala medier (såsom LinkedIn, Facebook och Twitter). Om du väljer att ange sådana länkar kommer vi att behandla sådana personuppgifter och granska informationen på dessa konton för att få en helhetsbild av dig som Sökande och därmed utvärdera om du är kvalificerad för anställning hos oss.
Vad gäller utdrag från belastningsregistret kommer vi endast att behandla sådana personuppgifter om så krävs enligt nationell rätt i det land där det anställande Inter IKEA-företaget har sitt säte.
Om vi har för avsikt att använda dina personuppgifter för andra ändamål än för dem de ursprungligen samlades in kommer vi dessförinnan att informera dig om detta och vid behov inhämta ditt samtycke. Om dina personuppgifter exempelvis behandlas i samband med rekryteringen till en specifik tjänst kan vi komma att be om ditt samtycke för att behandla dina personuppgifter i framtiden i samband med en annan tjänst, om vi tror att du skulle vara en lämplig kandidat för en annan tjänst inom Inter IKEA. Om du samtycker till detta kommer vi att behandla dina uppgifter vid framtida rekryteringar och du kommer att ingå i vår ”talangbank”. Vi kan vid en senare tidpunkt också komma att efterfråga ytterligare samtycke till att använda dina personuppgifter för ändamål som rör ett annat företag inom Inter IKEA som inte fick del av dina personuppgifter när du först tillhandahöll oss dem.
4. Överföring/utlämnande av personuppgifter
Inom Inter IKEA
Personuppgifterna som lämnats av en Sökande kommer att behandlas av Inter IKEA och kan komma att överföras till det företag inom Inter IKEA som utlyser den specifika tjänst som Sökanden har ansökt om. Personuppgifter kommer också att behandlas av Inter IKEA Digital Business, som är en affärsenhet inom Inter IKEA som stödjer koncernen i digitala frågor.
Till andra företag
Personuppgifterna kommer att lämnas ut till SmartRecruiters Inc., vilket är leverantören av Hemsidan, och som kommer att behandla personuppgifterna i rekryteringsverktyget för att kunna leverera sina tjänster till Inter IKEA, samt till SmartRecruiters leverantörer av e-posttjänster och andra digitala tjänster för Hemsidan. Smartrecruiters är skyldigt att säkerställa att dina personuppgifter skyddas på ett lämpligt sätt och får inte använda dem för icke godkända ändamål samt måste se till att även dess leverantörer uppfyller dessa krav.
5. Vilken är den rättsliga grunden för behandlingen?
Om inte annat anges i denna Policy är den rättsliga grunden för vår behandling av personuppgifter att behandlingen är nödvändig för att vidta de åtgärder som behövs på begäran av den Sökande innan ett anställningsavtal ingås. Om vi sparar dina personuppgifter för att ta tillvara vår rätt, t.ex. om en diskrimineringsprocess initieras av en Sökande beträffande vår rekrytering till en specifik tjänst, är sådan behandling av personuppgifter laglig i enlighet med principen om berättigat intresse, där det berättigade intresset är att ta tillvara vår rätt i diskrimineringsprocessen. Överföringen av personuppgifter till våra tjänsteleverantörer, som beskrivs i avsnitt 4 ovan, stödjer sig på principen om berättigat intresse, där det berättigade intresset är effektiv administration av ett gemensamt rekryteringsverktyg för Inter IKEA. Om vi behandlar utdrag från belastningsregistret är den rättsliga grunden för sådan behandling att fullgöra en rättslig förpliktelse. Foton och/eller videos tillhandahållna av dig, behandlas enligt den rättsliga grunden av Sökandens samtycke.
6. Hur länge sparar vi dina personuppgifter?
Vi behandlar endast dina personuppgifter så länge som är nödvändigt med hänsyn till de angivna ändamålen i avsnitt 3 ovan. Vår allmänna policy är att vi raderar dina personuppgifter ett (1) år efter att du har nekats en anställning. Anledningen till att vi sparar dina personuppgifter efter det att rekryteringsprocessen är avslutad är att säkerställa att vi har alla nödvändiga uppgifter för att ta tillvara vår rätt för det fall en sökande skulle vidta rättsliga åtgärder i en diskrimineringsprocess i det land sökanden ansökte om tjänsten. Om du samtycker till fortsatt behandling av dina personuppgifter i syfte att ingå i vår talangbank, kommer vi att spara dina personuppgifter så länge du vill vara en del av talangbanken. I vissa fall kan vi komma att behandla dina uppgifter under en längre tid än vad som har angivits ovan. Så kan t.ex. vara fallet om vi behöver ta tillvara vår rätt i en rättslig tvist eller om det är nödvändigt för att fullgöra en rättslig förpliktelse.
7. Skydd för personuppgifterna
Vi vidtar följande försiktighetsåtgärder beträffande de personuppgifter du tillhandahåller oss:
Säkerhet Vi vidtar en mängd tekniska och organisatoriska säkerhetsåtgärder, inklusive användning av krypterings- och auktoriseringsverktyg, för att skydda dina personuppgifter. Dina personuppgifter lagras i system som skyddas av säkra nätverk och som bara är tillgängliga för ett begränsat antal personer med särskild behörighet för tillgång till dessa system.
Exempelvis är de företag inom Inter IKEA som har tillgång till dina personuppgifter skyldiga att behandla dem konfidentiellt och att säkerställa att de skyddas. Endast rekryterare, berörda chefer samt medarbetare hos Inter IKEA eller företag som du har riktat din ansökan till och/eller som annars är involverade i rekryteringsprocessen kommer att ha tillgång till dina personuppgifter.
Internationell överföring De personuppgifter vi behandlar på Hemsidan lagras i Europeiska unionen eller inom Europeiska ekonomiska samarbetsområdet (EES). Om vi behöver överföra uppgifter till ett land inom EES gör vi endast det om det är möjligt från ett rättsligt och lagstiftningsmässigt perspektiv, till exempel:
– Vi förlitar oss på tillämpliga beslut från EU om vilka länder som tillhandahåller en tillräcklig nivå av dataskydd. Det innebär att EU anser att ett lands egna lagar eller avtal ger tillräckligt skydd för dina personuppgifter.
– Om det inte finns något beslut om adekvat skyddsnivå från EU för ett land förlitar vi oss på EU:s standardavtalsklausuler, som är avtalsklausuler avseende datasekretess som godkänts av Europeiska kommissionen. Det säkerställer att den externa parten garanterar att dina personuppgifter skyddas på en adekvat nivå.
8. Dina rättigheter beträffande behandlingen av personuppgifter
Du har många rättigheter beträffande behandlingen av dina personuppgifter. Läs mer om dessa här nedan. Om du skulle vilja åberopa någon av dem eller är intresserad att veta mer, vänligen kontakta oss! Du hittar kontaktuppgifter i slutet av denna policy. Observera att vissa av rättigheterna kanske inte är tillämpliga på din situation.
- Rätt till åtkomst
- Du har rätt att begära att Inter IKEA lämnar information till dig om vilka av dina personuppgifter vi behandlar och varför. Det är därför vi informerar dig i förväg om våra behandlingsåtgärder via denna policy. Har du några frågor eller vill veta mer om vilken information från dig vi behandlar är du alltid välkommen at kontakta oss.
- Rätt till rättelse
- Vid händelse att du tror vi lagrar felaktig information om dig, såsom ditt namn och adress, har du rätt att begära rättelse av oss.
- Rätt till radering
- Du har rätt att begära permanent radering av dina personuppgifter från våra register. Till exempel om du inte anser det nödvändigt för oss att behålla dina personuppgifter längre eller om du tidigare medgivit oss tillstånd att behandla dina personuppgifter men nu vill återkalla ditt samtycke.
- Rätt till begränsning av behandlingsåtgärder
- Du har i specifika fall rätt att begära begränsning av behandlingsåtgärder. Detta innebär att vi fortsättningsvis lagrar informationen men att vi temporärt upphör all annan behandling. Varför skulle du begära detta? Till exempel om du bett oss rätta felaktig information och vill att vi upphör behandling av dina personuppgifter till dess att de blivit korrigerade.
- Rätt till dataportabilitet
- I vissa situationer har du rätt att begära att vi skickar dina personuppgifter i digital form till dig, så att du kan skicka dessa vidare till annan part.
- Rätt att motsätta behandling
- Du har rätt att motsätta dig behandling av dina personuppgifter, även vid tillfälle att rättslig grund finns för sådan behandling. Du kan göra detta när du anser att dina personliga intressen väger tyngre än vårt berättigade intresse att behålla och behandla dina personuppgifter. Om du motsätter dig att vi använder din information i marknadsföringssyften, inklusive profilering, följer vi alltid denna önskan.
- Rätt att återkalla samtycke
- Om vi behandlar dina personuppgifter baserat på ditt samtycke kan du när som helst återkalla ditt samtycke.
- Rätt att inge klagomål till ansvarig myndighet
- Du har också rätt att inge klagomål till Datainspektionen om du anser att Inter IKEA:s behandling av dina personuppgifter inte sker i enlighet med gällande rätt.
9. Ändringar i denna Policy
Om vi gör några ändringar i denna policy kommer du att bli informerad om detta och bli tillfrågad om att lämna ditt samtycke till personuppgiftsbehandlingen såsom den anges i den uppdaterade Policyn så snart du loggar in på ditt konto på Hemsidan och innan du kan fortsätta att använda sidan.

1. Why do we have a privacy policy?
When you (the “Candidate” or “you”) create a profile in our recruitment tool on https://www.smartrecruiters.com/ (the “Website”) and when you apply for a specific position, you provide personal data to the Inter IKEA Group (“we”, “us” or “Inter IKEA”). The entities of the Inter IKEA Group together are responsible for the processing of your personal data. You can find the list of the Inter IKEA Group entities here. In order to make things easier for you, if you have a question, complaint, comment or request, it is sufficient to send one message to the provided (email) address below, which will cover all the entities within the Inter IKEA Group.
In this privacy policy (hereinafter the “Policy”) we will inform you about our processing of your personal data. We greatly respect our Candidates’ privacy and are committed to protecting it through compliance with this Policy. We also commit ourselves to be transparent with our Candidates by providing clear information about what personal data we process; the purpose of processing, the retention period of the personal data as well as the legal basis for the processing and other information that we are required to provide pursuant to applicable legislation.
Your personal data will be processed in the recruitment system both on our Website and in a smartphone application used by the recruiting staff of Inter IKEA. For purposes of this Policy any reference to the Website includes the smartphone application (when this is relevant).
2. What personal data do we process?
When a Candidate creates a profile and when the Candidate applies for a specific position through our Website, the Candidate will provide several types of personal data that we will process. We may also collect personal data about the Candidate from other sources which we will then process on our Website. The types of personal data that we may process about you are:
- Name
- Gender
- Nationality
- Date of birth
- Telephone number
- Email address
- Location
- Language
- User name
- Résumé (the résumé may include photos and videos)
- Education
- Experience
- Salary expectations and/or current salary
- Notes from the interview process (such notes may, among other things, include preferences and information about your lifestyle such as your hobbies, motivations and interests and our assessment of you as a candidate)
- Attachments to the application
- Online assessment results
- URL link to social media content
- Photos
- Background checks / reference check (only if required by local law)
3. Why do we process your personal data?
We will process your personal data for purposes of administrating the recruitment process, which includes inter alia to follow-up on your application, create a candidate profile and to communicate with you in the appropriate manner (e.g. inviting you to an interview).
We will also process the personal data in order to evaluate the application which includes determining if the Candidate is eligible for a certain position, if the Candidate’s education, experience and language skills meet the requirements for the open position, whether the salary level is in line with the Candidate’s expectations and collective bargaining agreements and compensation framework. When evaluating a Candidate’s application we will process the personal data provided by the Candidate. This concerns the résumé and cover letter, but may also concern (on a purely optional basis) photos and/or videos of the Candidate. However, we shall only process these photos and/or videos, if the Candidate has provided his or her explicit consent.
During the recruitment process, the recruiting team may take notes from e.g. interviews which may contain personal data. Such data are processed in order to evaluate the Candidate for the employment in question. During the application process you may also be asked to perform an online assessment. The results from the online assessment will be processed in order to evaluate the Candidate for the employment in question.
The Website will provide the opportunity for the Candidate to upload attachments for the recruiting team to evaluate. Any such attachment is provided on a voluntary basis and will be processed for the purpose of getting an overall picture of the Candidate and to evaluate the Candidate for the employment in question.
At Inter IKEA we believe in people and respect each other regardless of position, gender and background. Diversity, equality and inclusion increase our understanding of our customers and each other. In order for us to follow up that we reach, recruit for and embrace diversity, gender equality and inclusion we process information about our Candidates’ gender, nationality and date of birth (the provision of such personal data is optional) for statistical purposes and in an anonymous way.
Through the Website you have the possibility to connect your application to your social media accounts (such as LinkedIn, Facebook and Twitter). If you choose to provide a link to your social media accounts, we will process such personal data and review the information in your social media accounts for the purposes of getting an overall picture of you as a Candidate and to evaluate your eligibility for employment with us.
As regards background checks we will only process such personal data if required by local law in the country where the employing Inter IKEA entity is based.
If we intend to process your personal data for other purposes than the purpose for which the data was originally collected, we will notify you of such processing before we initiate it and if necessary, request your consent. For example, if your personal data are processed in relation to the recruitment for a specific position, we may ask for your consent to process your personal data in the future in relation to another position if we think that you would be a suitable candidate for another role within Inter IKEA. If you consent to this, we will process your data for the purpose of future recruitments and you will be a part of our “talent bank”. We may also at a later date ask for additional consent to use your personal data for purposes of another company within Inter IKEA that did not receive your personal data in the first instance.
4. Transfer/disclosure of personal data
Within Inter IKEA
The personal data provided by a Candidate will be processed by Inter IKEA and may also be transferred to the company within Inter IKEA that is offering the specific position for which the Candidate has applied or other companies within Inter IKEA you applied to. Personal data will also be processed by Inter IKEA Digital Business, which is a business unit within Inter IKEA that supports the group in digital matters.
To other companies
The personal data will be disclosed to SmartRecruiters Inc., which is the supplier of the Website, that will access the personal data within the system to provide its services to Inter IKEA, as well as to SmartRecruiters’ suppliers of email and digital functions for the Website. SmartRecruiters is required to adequately safeguard your personal data and not use them for any unauthorised purposes and to ensure that its suppliers do the same.
5. What is the legal basis for the processing?
Unless otherwise stated in this Policy, the legal basis for our processing of personal data is that the processing is necessary in order to take steps at the request of the Candidate prior to entering into an employment contract. However, if we retain your personal data for a longer period in order to protect our legal rights, e.g. if a discrimination process is initiated by a candidate in relation to our recruitment for a specific position, such processing of personal data is lawful based on the principle of legitimate interest, with the legitimate interest being to protect our rights in the discrimination case. If we process background checks the legal basis for such processing will be to fulfil a legal obligation. Photos or videos uploaded by you, are processed on the legal basis consent.
6. How long do we keep your personal data?
We will process your personal data only for as long as necessary in relation to the purposes described under section 3 above. Our general policy is that we erase your personal data one (1) year after you have been rejected a job. The reason why we keep your personal data after the termination of the recruitment process is to ensure that we have all necessary data to protect our rights should a candidate take legal actions in a discrimination process in the country where you applied for the job. If you consent to further processing of the personal data for the purposes of being a part of our talent bank, we will retain your personal data as long as you wish to remain in our talent bank. In some cases we may also process your data for a longer period of time than stated above. This may be the case if we need to protect our legal rights, for example in a legal dispute or if necessary to fulfil a legal obligation.
7. Protection of personal data
We take the following precautions in relation to the personal data you provide us:
Security
We use a variety of technical and organisational security measures, including encryption and authentication tools to protect your personal data. Your personal data are stored on systems behind secure networks and is only accessible to a limited number of persons with special access rights to such systems.
For example, the companies within Inter IKEA that have access to your personal data are required to treat your personal data as confidential and to seek to maintain its security. Only recruiters and relevant managers and co-workers of the Inter IKEA entity or entities to which you directed your application and/or who are otherwise involved in the recruitment process will have access to your personal data.
International transfers
The personal data processed on our Website are stored in the European Union or within European Economic Area (EEA). If we need to transfer data within the EEA we will only do so if this is possible from a legal and regulatory standpoint, for example:
- We rely on adequacy decisions from the EU on which countries provide an adequate level of data protection. This means that the EU believes a country’s own laws or agreements provide adequate protection for your personal data.
- If there is no adequacy decision from the EU for a country, we then rely on the EU Model Contract Clauses, which are European Commission approved standard contractual clauses relating to data privacy. This ensures that the external party will guarantee an adequate level of protection of your personal data.”

Right of access
- You have the right to know what personal information we process and why. That’s why we inform you in advance about our processing activities via this statement. If you have any questions, or would you like to learn more about what information we process from you, you are always welcome to contact us and we will provide you with further information.
Right to rectification
- If you believe we store wrong information about you, such as your name or address, you can ask us to correct this.
Right to erasure / right to be forgotten
- You have the right to tell us to permanently erase your personal information from our records. You can do this for example if you believe there’s no longer any need for us to keep it. Or, if you previously have given your permission, you can just decide to withdraw it.
Right to restrict the processing activities
- You have the right to restrict our processing activities in certain situations. This means we will continue to store your information, but we’ll temporarily stop any other processing. Why would you want to do this? For example if you’ve asked us to fix incorrect information. In this situation you may want us to stop processing until the information is correct.
Right to data portability
- In certain situations you have the right to ask us to send your personal information in digital form to you, so that you can forward it to someone else.
Right to object
- You have the right to object to the processing of your information, even when we have a legitimate legal reason to process it. You can do this when we process your information on the basis of our legitimate interest, and you believe that your personal interest outweighs ours. If you do not want us using your information for direct marketing purposes, including profiling, we will comply in any case.
Right to withdraw consent
- If we process your personal information based on your consent, you have the right to withdraw your consent anytime.
Right to lodge a complaint with a supervisory authority
- If you aren’t satisfied with the way we treat your personal information, you have the right to lodge a complaint about us to the national supervisory authority.
9. Changes to this Policy
If we make any changes to this Policy you will be notified thereof and requested to consent to the updated processing of personal data as set out in the Policy as soon as you log in to your account on the Website and before you can continue using the site.
